| Generating Maintenance Reports |
Once
you have populated the maintenance log with a set of tasks and
schedules you can start generating maintenance reports (even if you
have not done any maintenance as yet). The reports are created by
the "Create Maintenance Report" user form, shown on the left. There are four report formats currently available in this application. Notice that when this form first appears only the radio button for the "Overdue Tasks" report is enable. The "Overdue Tasks" report is generated for all systems defined in the System Table. The other reports are specific to a given system and the system must be selected from the drop down list at the top of the form. |

| Generate Complete Log Report |
In
this case I have selected the SeaFrost refrigeration system for a
maintenance report then I clicked on the "Complete Log" radio
button.This enables the "Create Report" button, which will create the report when clicked. |
The
report is generated into the Excel Print Preview window as shown in
the screen capture on the right (click on the image to view it a
full resolution).This report shows each log entry for the system in chronological (latest first) order. The report shows the date on which each maintenance task was performed, by whom and any comments that were recorded on each task. |
| Selected Log Report |
When
the "Selected Log Entries" button is clicked the maintenance report
form is expanded to allow the entry of the selection criteria.You may enter a start and end date, as shown here. You may enter just a start date or just an end date. The start date cannot be later than the current date or the end date (if one is specified). You may also select one of the tasks in the drop-down list just below the date fields. When the selection criteria have been entered the "Create Report" button is enabled and the report can be generated. |
This
report is generated in the Excel Print Preview window. In this case
I selected all tasks completed during the month of September, 2008
(click on the screen capture to view it at full resolution). |
| Task Status Report |
The
third report format is the Task Status Report. |
The
screen capture on the right (click on the image to view it at full
resolution) shows the Task Status report for the SeaFrost
refrigeration in the Excel Print Preview window.The Task Status report displays the most recent record for each scheduled task for the SeaFrost refrigeration. The reports shows the date of the most recent completion of each task, by whom it was performed and any comments that were entered with the log entry. The report also calculates the next date the task is due to be repeated (based on the schedule in the system task sheet). If that next date has already past the task is flagged as "Overdue", otherwise the status is "Current". Fortunately all of the maintenance tasks for my SeaFrost system are up-to-date. |
This
is a Task Status Report on my Mariner 9.9 HP Outboard (Click on the
image to view it at full resolution).
Obviously things are not so up-to-date here. Looks like I've
got some maintenance work to do.If a maintenance task has never been recorded in the log it will be flagged "Never Performed" in the comments column of the report. Things are really not this bad for the outboard. I've just neglected to enter maintenance records for this system. |
| Overdue Tasks Report |
The
"Overdue Tasks" report displays all tasks that are overdue to be
performed. No system selection is required as the report
is generated for all systems defined in the System Table. |
